Graduate Assistantships and Fellowships

The Office of the Provost and Division of Student Affairs have identified frequently asked questions about remote learning, resources available to students, campus housing, and what to expect as online instruction continues for the rest of the spring semester, due to developments related to the Coronavirus (COVID-19) situation.

Thank you for your interest in the Graduate Assistantship positions at St. John’s University. 

A limited number of Graduate Assistantships and University Fellowships are granted to various academic departments within each school and college of the University. Graduate Assistantships are also available in administrative departments. All students interested in applying for an Assistantship must complete the online Graduate Assistant or Doctoral Fellowship application found below, print it out, and hand it in at the Graduate Admissions Office (Newman Hall, Room 106). When Academic Graduate Assistantships/University Fellowships are available, the appropriate college will review the applications submitted and then contact a student. Non-Academic Graduate Assistantships are posted below and students may apply directly for them after submitting the Application for Graduate Assistantship/Fellowship.

  • Students who are currently enrolled in a graduate program at St. John's University can apply using the Application for Graduate Assistantship/Fellowship form
  • Students who are applying for admission to a graduate program at St. John's University should apply by logging into their Student Portal at grad.stjohns.edu/apply. The assistantship/fellowship application will be available in the Student Portal after submission of the graduate application for admission, as long as the student replies "Yes" to the question, "Are you interested in a Graduate Assistant position?" on page 1.

Graduate Assistantships and Doctoral Fellows Forms

Academic Criteria

Awards are given on the basis of academic merit. Applicants for Doctoral Fellowships and Graduate Assistantships are only expected to submit GRE or GMAT scores if they are required to do so within their primary department of study.

All awardees are expected to have an undergraduate overall GPA of at least 3.20. Graduate Assistants will be expected to show evidence of a 3.20 GPA or above in any previous graduate work. Doctoral Fellows will be expected to show evidence of 3.5 GPA or above in any previous graduate work. Graduate Assistants who do not maintain these minimum GPAs will not be eligible to keep their assistantships.

The Graduate Admissions Assistance Program (GAAP) oversees graduate student applications to external scholarships. The staff of the GAAP Office will assist you in determining your eligibility for scholarships and in completing the application process. In addition to our regular Graduate Assistantships and Doctoral Fellowships, several additional scholarships are available including the Pope Paul VI Scholarship Program and the Catholic School Teacher Scholarship.

Graduate Assistantship and Doctoral Fellows Position Descriptions

There are two main types of academic graduate assistantships available: Graduate Assistantships for master’s students, and Doctoral Fellows for doctoral students. Students must be enrolled in a program of study affiliated with the department or program offering the assistantship. The number of Graduate Assistantships and Doctoral Fellowships may vary from year to year.  

Graduate Assistantships

There are two types of Graduate Assistantships. The first type of Graduate Assistantship is an academic assistantship. Graduate Assistants with academic assistantships are assigned to their home departments and are expected to assist in teaching and/or to conduct research within their disciplines. Academic Graduate Assistants work up to 20 hours per week. Teaching duties cannot include being the instructor of record. It is recommended that Academic Graduate Assistants should devote on average up to 5 hours per week engaged in assisting in the teaching or mentoring of students.

The other type of Graduate Assistantship is a non-academic assistantship. Graduate Assistants with non-academic assistantships are assigned to offices throughout the University and are not directly affiliated with their home departments. Non-Academic Graduate Assistants are not expected to teach or conduct research, but their learning experiences should have relevance to their fields of study. Non-Academic Graduate Assistants are expected to work up to 20 hours per week for an administrator and are not expected to engage in the assistance of teaching or mentoring of students.

Both master’s and doctoral students are eligible for Graduate Assistantship positions.

Doctoral Fellowships

Doctoral Fellowships are awarded to doctoral students only; these fellowships reside only in academic departments, with the exception of the Institute for Writing Studies (See “Other Program Descriptions,” below). Doctoral Fellows conduct research and may teach. Teaching activities might include lab supervision, serving as instructor of record for select undergraduate courses, or tutoring students. Research must be confined to the needs of the program, faculty, or student.  Doctoral Fellows work up to 20 hours per week. It is recommended that Doctoral Fellows should devote on average up to 5 hours per week engaged in the teaching or mentoring of students.

Academic Graduate Assistantships

The position descriptions for College departments and programs linked below provide general information about assistantships offered by St. John’s University. Please contact a department for further information about whether or not academic positions are presently available.

Other Graduate Assistantships (Non-Academic)

Other types of Graduate Assistantships are assigned to non-academic departments throughout the University, which are not directly affiliated with the student’s home department. These Graduate Assistantships do not require teaching or research in an academic discipline but administrative Graduate Assistants are expected to work up to 20 hours per week for an administrative unit. 

Available Non-Academic Graduate Assistantship Positions

To be considered for a GA position, two steps are required:

  • Complete the online Graduate Assistant or Doctoral Fellowship application, print it out, and hand it in at the Graduate Admissions Office (Newman Hall, Room 106) or email it to gradhelp@stjohns.edu. 
  • Submit a resume to the specific position you are interested in, which is posted on the Graduate Admission page, listed below.

This assistantship provides an opportunity for the graduate assistant to enhance their research and assessment skills. Additionally, the graduate assistant will be able to enhance their skills in Microsoft Office programs. A description of the activities the graduate assistant will be involved in is provided below. Responsibilities: 

  • Maintain and distribute electronic assessment data collection forms.
     
  • Accurately enter assessment data into the University’s assessment database. 
     
  • Summarize results of data collection using tables, graphs, charts, etc. 
     
  • Complete additional quantitative and/or qualitative assessment projects as needed.
     
  • Research and maintain a list of professional development resources for St. John’s College undergraduate and graduate students. 
     
  • Research opportunities and maintain a list of scholarships and grants for students.
     
  • Assist with recruitment, training, and professional development events hosted by the College (online or on campus). 
     
  • Gain additional skill in Microsoft Office programs, particularly Microsoft Excel. 

Qualifications:

  • Describe the type of graduate degree program related to the Assistantship being requested: Applicants pursuing a graduate degree in any field, preferably psychology, school psychology, sociology, criminology, or library and information sciences.

If would like to apply for a Graduate Assistantship position within Student Affairs, you must first complete the Application for Assistantship/Fellowship.

After submitting the Application for Assistantship/Fellowship form, you may apply for a position using the Division of Student Affairs Graduate Assistantship Application online form. Please note this only applies to positions with the Division of Student Affairs.

Applications will be accepted until the positions are filled and interviews will take place on a rolling basis. Please apply early and expect to participate in virtual interviews. As positions are filled, the postings will be removed from the website. Please note you will be required to provide proof of acceptance into a matriculated graduate program in order to receive an offer.

Description of Services Provided by the Department:  

Student-athletes face a unique set of challenges and circumstances as they participate in Division I intercollegiate athletics. In addition to the enormous investment of time and energy, each student-athlete must adhere to strict NCAA guidelines regarding academic eligibility while balancing their athletic and academic pursuits. The Division of Academic Support Services, in collaboration with the Department of Athletics, has developed a comprehensive support and resource program to help maintain this balance. The Student Development for Athletes program provides a wide range of services from the recruiting stage through graduation. The program focuses on five key areas: academic support, career development, personal development, leadership and community service.

Description of the student learning experience and how it relates to student’s field of study:

The Graduate Assistant will have the opportunity to develop their skills in the areas of counseling, teaching, program development and execution. The graduate student will participate in a variety of meetings with both university professionals and college age students. The graduates will learn how to proactively approach the planning of events, budget management, and executing events on both small and large scales. It will be important for this student to learn the importance of building a positive rapport with coaches, students and university personnel. The graduate assistant will acquire real world experience in developing and implementing programming to help student-athletes reach their leadership, academic, personal and career goals.

The Graduate Assistant will have the opportunity to promote the academic success and retention of student-athletes participating in St. John's University’s intercollegiate athletics program. The Graduate Assistant will learn how to plan and execute various events in collaboration with other campus resources (Career Services, Campus Ministry, Student Wellness, etc) He or She will develop interpersonal skills to effectively communicate with student-athletes, coaches, and administrators. The Graduate Assistant will learn how to provide effective developmental advising and up-to-date campus information to student-athletes to help them reach their academic, personal and career goals.

Major Activities GA will be involved in and evaluated on:

  1. Participate in the oversight and planning of large scale student development activities and projects for 300 student athletes.
  2. Collaborate with the Associate Athletic Director for Student-Athlete Services and assist in evaluating effective programming strategies.
  3. Participate in the planning, creation and assist in supervision of the Student-Athlete Orientation.
  4. Attend and contribute in bi-weekly staff meetings with experienced administrators present.
  5. Observe and assist with the project planning, implementation and evaluation of SD 101 and the Peer Educator program.
  6. Analyze the department’s use of technology and provide feedback. Under the guidance of the director assist in maintaining the database of graduate, leadership, athletic and academic achievements.
  7. Evaluate, analyze and prepare reports for all workshops, seminars and presentations. Provide feedback to appropriate administrators.
  8. Participate in benchmark studies to ensure we maintain the high athletic standard of the Division I, Big East Conference & NCAA.
  9. Attend NCAA compliance meetings, learn and analyze regulations and policy in relation to sport.

Qualifications:

  • Describe the type of graduate degree program related to the Assistantship being requested: Enrolled in Sports Management, Psychology, Education, Counseling or M.B.A. program.
  • Completed a bachelor's degree from an accredited college or university with a major in: Completed a bachelor’s degree from an accredited college or university with a major in Education, Psychology, Counseling, Business, Sport Management, or related field.
  • Experience required: Experience using Microsoft word, Excel, and PowerPoint. Prior student-athlete experience a plus but not required.

Position Title: Graduate Assistant for Facilities and Operations in Athletics

Description of Services Provided by the Department: The Athletic Administration Department provides oversite and manages the daily operations of the Athletics Department.  The department manages over 120 staff including coaches and graduate assistants.  The Deputy Athletic Director/Chief Operating Officer is part of the Athletic Director’s executive staff and contributes towards the overall administration of the St. John’s Athletics program by providing leadership to the operational activities of the departments’ 17 intercollegiate sports, Athletics’ facilities management and key department functions, including Sports Medicine, equipment room and the strength and conditioning, and sports performance programs. The Deputy AD also collaborates closely with and maintains constructive relationships with university partners including University Facilities, Public Safety, Student Affairs, Residential Life, Office of Multicultural Affairs, Advancement and the Office of Academic Student Support to enable optimal outcomes for the University’s athletic programs and student athletes. The Deputy Athletic Director reports directly to the Athletic Director and is expected to participate and contribute to the Athletic Director’s strategic planning and execution thereof.    The Athletic Administration office provides daily oversight of all policy procedures. In addition, the department manages logistical arrangements for all intercollegiate contests and non-intercollegiate events. With over 200 events and 17 varsity programs to schedule and oversee, planning is critical to manage event requirements. Athletic Facilities & Operations is responsible for the oversight of Carnesecca Arena, Taffner Field House, DaSilva Memorial Track and Lacrosse Field, Red Storm Softball Field, the tennis courts, Jack Kaiser Baseball Stadium and Belson Soccer Stadium. The department works closely with the university to schedule maintenance, home competitions and various events that take place in these facilities. Other operations to include hiring and scheduling event staff to work events, planning game-day operations, executing the operation of an event, aiding the university in project management, and facility evaluations.

Description of the student learning experience and how it relates to student’s field of study:

The Graduate Assistant will be exposed to the operation of a Division I Athletic program.  This graduate assistance will be provided experiential learning opportunities in multiple areas including Sports Performance, Facilities and Operations, Event Management, Capital Projects, Equipment Operations, Sports Medicine, Sports Administration, Corporate Sponsorships, Fundraising among others.  This Graduate student will experience multiple meeting including Senior Staff, Capital Projects, Facilities Planning, Facilities Operations, Student Wellness, Coaches and Staff meetings.   This student will be able to observe interactions between multiple constituents including staff, coaches and external partners.  This student will be given projects in multiple areas including capital planning, facility planning, nutritional pilot program, benchmarking industry peers, observing equipment inventory methods and planning events, facility scheduling, and view the process of communicating capital needs to the university. The student will be involved in numerous projects that will provide meaningful experiential learning opportunities.  Lastly, the student will research equipment and operations, by benchmarking with other universities, to gain a global awareness of the industry our role in the Big East Conference.

 

Describe the major activities the GA will be involved with and evaluated on:

  1. Observe and assist in the management of over 75 staff members, consisting of students in interns, college work study, and event staff positions both in the office and during events
  2. Learn and assist in the payroll process for student staff
  3. Observe and assist in the creation orientations for all members of the student staff
  4. Participate in the athletic scheduling process for all athletic events
  5. Collaborate with various departments on campus to organize and plan events including marketing, business office, compliance, sports medicine, equipment room and university facilities
  6. Plan event logistics and communicate needs to run safe, clean, and organized events
  7. Evaluate and provide feedback for both athletic and event operations 
  8. View and contribute with project planning and management, including working within a budget, coordinating coach’s preferences, and establishing timelines
  9. Participate in budgetary processes in fiscal and capital planning
  10. Learn basics of athletic capital planning, financing of projects, and how athletics fits within the university master plan
  11. Oversight of all athletic facilities including Carnesecca Arena, Belson Stadium, Jack Kaiser Stadium, DaSilva Memorial Field, and others

Description of Services Provided by the Department: 

Equipment Operations within the Department of Athletics plays a critical role in helping the Department function. The responsibilities of Equipment operations include managing the Nike allotment, placing all apparel/equipment orders for the 20 varsity programs, including 350 students and 100 staff members, ordering from Rawlings, Asics and other equipment vendors; monitoring budgets for all teams and keeping track of spending; apparel/equipment inventory and distribution; laundry services for 350 students; ensuring all coaches and student athletes stay within BIG EAST and NCAA guidelines in order to compete as a Division I Intercollegiate Athletic program.

Description of the student learning experience and how it relates to student’s field of study:

Graduate Graduate Assistants working in Equipment Operations within the Department of Athletics will learn by observing how a Division I equipment room operates. The student will be involved in experiential learning opportunities including observing daily operations and attending multiple meetings with different administrators, coaches, and staff. In addition, the student will be able to observe the multiple processes of ordering apparel and equipment by managing multiple teams' allotment and inventory as assigned. The student will observe and, at times, be able to interact with external vendors. The student will be assigned projects to research best practices of inventory management and inventory controls, laundry services and embroidery. Graduate Assistants are also encouraged to share feedback and ideas. Additionally, the student will be able to observe the management and oversight of student workers and staff. The student will also have access to the budgetary process and equipment allotments.

Describe the major activities the GA will be involved with and evaluated on:

  1. Participate in the oversight and management of student workers and assist in providing equipment service to 300 student athletes
  2. Collaborate with the Director of Equipment Operations and assist in evaluating effective management strategies
  3. Attend game operations meetings where experienced administrators from various departments review protocol including but not limited to safety, marketing, scheduling, ticketing, event staff management, communications, medical staff
  4. Generate ideas in the creation of staff orientation
  5. Experience the social and psychological aspects of sport by attending meetings and observing the interactions of student athletes and coaches on a daily basis
  6. Project: inventory control. Benchmark best practices and provide feedback. Evaluate current process and provide feedback. Under the supervision of the Director, assist in the planning of inventory management, equipment ordering and processing for 20 sports teams, provide ideas, insight, and provide feedback on the process. 
  7. Evaluate and provide feedback for inventory management controls and quality customer service provided to the 350 student athletes and 100 staff members
  8. Observe budgetary processes in fiscal planning, monitoring and evaluating team budgets
  9. Learn basics of event management and venue administration through firsthand experience at meetings and events
  10. Analyze and evaluate technology's impact on the department and provide feedback
  11. Attend compliance and rules education meetings

Job Description

Marketing development and production

Description of the student learning experience and how it relates to student's field of study:
Students in International Communications or Marketing will gain professional insight in a working international office, collaborating on projects and information sharing across a diverse network of constituents. 

Describe the major activities the GA will be involved with and evaluated on:

  1. Research, develop and maintain web content on Terradotta and OIE website
     
  2. Develop print and digital marketing materials as well as events to promote study abroad programs, including mentoring the Global Ambassador study abroad alumni program in coordination with the Outbound Student Services team
     
  3. Participate in OIE recruitment events
     
  4. Coordinate a weekly emails and social media posts with important announcements, deadlines, and OIE events

Qualifications:

  • Describe the type of graduate degree program related to the Assistantship being requested: International Communications or Marketing
  • Completed a bachelor's degree from an accredited college or university with a major in a field related to marketing and communications preferred.

The LGBTQ+ Center is a University-wide resource and research hub for students, faculty, and employees. Description of the student learning experience:

The LGBTQ+ Center is committed to providing scholarly, community, public, and social resources for all members of and allies to the LGBTQ+ community at St. John’s and locally. The future of the Center will be driven in part by the team assembled that will include staff members and graduate and undergraduate students to work alongside the directors to grow and carry out the vision and mission of the Center.

The Center is a transdisciplinary academic hub, and students in any field of study will be able to gain experience and develop their skills across a variety of areas— including but not limited to: art and design, communication, education, journalism, marketing, media, public outreach and activism, research, and writing. Duties may be assigned based on each Assistant’s individual skill set. GA’s will collaborate with the team at the Center as well as work closely with various populations of students, staff, and faculty across campus in order to support the Center’s purpose and programming throughout the academic year.

Primary duties the GA may be involved with and evaluated on:

  • Serve as a coordinating resource point for disseminating LGBTQ+ Center information to faculty, staff, and students 
  • When staffing the LGBTQ+ Center reception area: greet patrons, answer phones, and provide appropriate resources to information seekers as necessary
  • Check out/check in media materials from the Center’s lending library to patrons
  • Marketing and promotions, including social media and web presence 
  • Email listserv and newsletters
  • Aide in event planning and programming
  • Assist with workshops, training and student/staff development 
  • Collaborate with staff members and undergraduate workers in order to achieve to accomplish projects and duties above
  • Attend Center staff meetings and trainings as necessary 

Qualifications: Bachelor’s degree and current enrollment in graduate program (any discipline) 

Desirable skills: proficiency with Mac computers, Adobe software, Microsoft Office suite, social media expertise. Knowledge of or experience working with historically marginalized populations is a plus. Multilingual applicants are also highly encouraged to apply.
